Terms and Conditions
TERMS AND CONDITIONS
The following terms and conditions apply to all entrants participating in the Beacon Race Event Series, organised and managed by Beacon Race. By completing an entry form or purchasing an entry, participants acknowledge and accept these terms and conditions.
1. Participant Responsibility
All participants are fully responsible for their own actions while attending any Beacon Race event. This includes conduct at the event HQ as well as out on the course. Beacon Race accepts no responsibility for a participant’s actions or the consequences of those actions.
2. Fitness and Capability
By signing the registration form, participants confirm they are physically and mentally capable of completing the race route they have entered. If a participant chooses to leave the course during the event, they do so at their own risk and must notify a member of the Beacon Race team.
3. Age Requirements
The registration form must be completed by an individual aged 18 or over (proof of age may be required).
4. Event Kit
Participants confirm that the equipment and clothing they choose to wear are suitable for safely completing the route. Mandatory kit for events will be inspected before race start. If kit is missing from the mandatory kit list, a participant can be denied entry to the event by race staff. No refunds will be given.
5. Route Warnings
Warning signs will be placed at appropriate points on the course. However, the absence of signs does not mean there are no hazards ahead. It is the participant’s decision whether to proceed on any given section.
6. Course Terrain
Some sections may be uneven or slippery. Participants must judge for themselves whether to proceed safely on those sections.
7. Route Guidance
Marked routes are provided for guidance only. Participants are not required to follow them. If a participant chooses to take an alternative path—whether to avoid obstacles or because they feel a section is beyond their capability—they do so entirely at their own risk.
8. Route Adjustments
Beacon Race reserves the right to shorten or alter the published route at any time. No refunds will be issued if the route is shortened.
9. Respect for Others
Participants must show consideration to other users of bridleways, footpaths, and byways. When encountering walkers, horse riders, or others, participants must pass carefully and, if necessary, stop and wait to allow safe passage.
10. Emergency Costs
Participants are fully responsible for any fees or costs incurred as a result of accidents, including (but not limited to) services provided by police, air ambulance, fire and rescue, or medical staff. If the participant is unable to make the decision to call emergency services, they agree that a member of the Beacon Race team or a member of the public may do so on their behalf. The participant remains liable for all costs incurred.
11. Photography and Media
By entering, participants grant Beacon Race full rights to use photographs, video, and film taken during any event. This includes the right to reproduce, distribute, broadcast, or sell such media without limitation or compensation. Participants waive any rights to royalties or other benefits arising from such use.
12. Withdrawal from an Event
If a participant is unable to finish an event, they must return to HQ and report to a member of the Beacon Race team.
13. Transfers
• Participants unable to attend a race may transfer their entry to another race of equal or lesser value, provided notification is given at least 7 days before the event. After this date entries can not be transferred.
• Transfers are subject to availability. Entries cannot be transferred into a race that is sold out.
14. Registering on Behalf of Others
Anyone registering on behalf of another participant is responsible for ensuring the participant is aware of, and accepts, these terms and conditions.
15. Refunds
All entry fees are strictly non-refundable under any circumstances.
16. Event Cancellation
Beacon Race reserves the right to cancel events due to extreme weather. In such cases, entries will automatically be transferred to a rescheduled date. If participants cannot attend, their entry may be carried over to another event within the same series. Refunds will not be provided.
17. Privacy
Personal information will only be used in accordance with our Privacy Policy.
